Wedding Coordinator vs. Venue Coordinator 101

Wedding Coordinator VS Venue Coordinator

Your venue comes with a wedding coordinator? No it doesn’t. Here’s why and here’s the difference. A wedding planner essentially makes critical decisions regarding what, when, who, and how. They handle everything related to your venue, vendors, and wedding party. Most planners are with the couple from beginning to the end to oversee all parts of the wedding day. A venue coordinator is responsible for the venue. Plain and simple, the venue coordinator is hired by the venue and works for the venue.Their primary role is to protect the venue. A wedding planner and a venue coordinator have very separate responsibilities.

Keep in mind, most planners have several packages. Most commonly, either full planning, partial planning, or month of coordination. Below is a short list of duties and responsibilities with a Wedding Planner VS your Venue Coordinator!

Modern Wedding at Kendall Point

Modern Wedding | Kendall Point | Boerne, Texas

This modern wedding at Kendall Point was a dream come true. Cait & Conner nailed it, all of it! The bride and groom had a vision, and together they worked tirelessly to bring their vision of a modern wedding to life. Every detail was thoroughly though out, like seriously…they thought of everything.

Let’s start by talking about how awesome Cait and Connor are as humans. And when you think a bride and groom can’t get any more awesome, you meet their family and friends who were just as awesome and added to Cait and Connor’s awesomeness! Connor and I had briefly met previously, at his sisters wedding at Kendall Point in 2018. {Nothing is more special to me personally, than a repeat customer. There is not a higher honor, than families coming back to KP to wed other family members. } When I got the call from Mrs. McMillan (mom and wedding planner extraordinaire, ) that Connor was about to get engaged and propose to his fiance, I was so excited, for many reasons! #1 the McMillian’s know how to throw down and have a party (must be all the Aggie’s!) #2 they have the most elegant style and taste. Nothing gets past the McMillan’s, and the details are everything.  EVERYTHING. Mrs. McMillan kept a wedding binder a mile thick, to keep track of every detail, organized perfectly. Of course their wedding planner Diana Boucher also has a binder like this…can you imagine the two of them and the amount of details that were recorded in said binders! Truly remarkable!

When I met Cait, I just knew that this wedding was going to be one of my favorites. Cait wanted a very modern wedding. Meaning, modern decor, whites/lights/neutrals, with pampas grass, white roses, geometric shapes, touches of gold, and moody lighting. Cait & Connor chose to work with Evember (LOVE!). Angie and her team flawlessly executed the design of each centerpiece. A mix of tall arrangements on glass pedestals with floating candles framed the dance floor on the main tables. Lower centerpieces of roses, hydrangeas, and dried flowers in a modern 3 piece square glass vase enhanced the guests tables. Each table was sprinkled with delicate white rose petals to create a very romantic feel. Hammered gold chargers and a menu card were placed on each place setting for the guests. The table designs were perfect, not too much, not too little.

Cait & Conner added 2 gobos to flank the stair walls of KP to really hone in on the modern vibes, I am obsessed with the pattern they chose! Paired with a lighter white up-light, the ballroom lighting was perfect. Obviously, their 5 tier cake with gold accents (hand painted white chocolate…yum!) on the stairs was a major focal point. They chose a darker linen for the cake table to help the cake really pop, and it certainly did! I can’t forget to mention the bar set up. They chose to use the stone bar, and a black floating bar as the featured bar. You will see why in the photos below! A modern neon sign with their initials C & C was hung on the front of the bar, and it was a big hit with the guests! Mr. McMillan (also made all the craft brew!)  made several modern style easels. Painted in a matte black, Cait & Conner hung their bar menu and seating charts by the bar for guests to easily see.

I can’t seem to put into words how amazing this wedding was. Not just the decor, and vendors they chose. But who the bride and groom are as humans. They were so easy to work with and fun to work with. Genuinely kind souls and big hearts. The McMillan’s will always hold a special place in my heart. I have not seen a wedding party so epic, ever. They danced the night away and never stopped. This is a wedding that could of gone on until 2am! Aggies always know how to throw down, must be something in the water up there in CS!

Emerald Green Wedding at Kendall Point

Emerald Green Wedding | Kendall Point | Boerne Texas

Ashley’s  Emerald Green Wedding at Kendall Point was a vision! It was truly elegant, and perfect in every way. Her wedding included vibrant emerald green accents, white flowers with loose greenery, velvet runners, farm tables, and clean whites. The bridesmaids were in a perfect shade of emerald that was carried through with the reception decor. Touch of Whimsy (her planner and florist) always has stunning floral design!

Another COVID postponed wedding celebrating Ashley and Jake! The most adorable couple was supposed to get married in late April. Do we need to talk about why?! In case you forgot, we were in a complete lock-down/shutdown/shelter in place. But, it didn’t stop Ashley and Jake from getting married on their scheduled date. These two held the most precious ceremony at their family ranch in an intimate setting. Knowing and planning for the big celebration that was rescheduled for August, they wanted to officially celebrate their love for each other in April. Ashley and Jake, although frustrated and heart broken to no get married at KP in April, had a beautiful celebration in August. I especially love the photo of Jake watching his bride walk down the aisle, it is so sweet!

Burgundy, Blush and Navy Wedding at Kendall Point

A Burgundy, blush and navy wedding | Kendall Point | Boerne Texas.

Katherine and Travis were set to wed in April, but COVID had other plans! Texas was in a complete shutdown/lock-down/shelter in place in April. But Katherine and her family were truly the best in understanding everything as best as they knew how. Honestly, we didn’t know how to answer most of their questions/concerns either. I mean, this was all new to us too! As you know we were all in “uncharted territories” (my most hated words), but through a lot of tears, and laughs and WTF’s Katherine and KP were able to figure out what to do. I can say with out a doubt, the reschedule process was made so much easier because she seriously had THE BEST VENDOR TEAM EVER.

We all know that summer weddings are HOT, but July 10th was SUPER HOT! The heat index was over 110 degrees! But it didn’t matter to anyone that day. The guests were happy and ready to help celebrate the best day ever, and that they did!

Katherine and Travis had the party of a lifetime, just like they deserved! Just take a look at the photos from Dawn Elizabeth Studios, they had a blast, and we are so happy for them starting their new life as Mr. and Mrs!

Friday Weddings at Kendall Point

Friday Weddings at Kendall Point | Boerne, Texas

Planning a wedding on a non-Saturday | Weekday weddings | Why you should

We have always said, don’t fall in love with the date, fall in love with the venue. Thus, if the Saturday you wanted is booked, you can choose a Friday instead. FOR SO MANY REASONS. Friday weddings at Kendall Point are great, lets get to it.

FRIDAY Weddings at Kendall Point

My personal favorite day of the week.

  • Friday is pay day
  • Friday is Saturday’s cooler younger brother
  • Everyone wants to take off early on a Friday. You might as well be the reason they leave work early for! Boom!
  • Friday is typically way cheaper to rent a venue
  • Hotels are cheaper on non-Saturdays
  • Travel is cheaper on non-Saturdays
  • The wedding still lasts to the end, duh, everyone is off the next day, CHEERS!
  • A lot more vendor availability on a non-Saturday
  • Guests can make a weekend out of your wedding
  • You can actually spend time with your guests on Saturday who traveled to see you get married!
  • Can’t think of a better way to kick off the weekend

The reality is, as soon as you stop saying SATURDAY SATURDAY SATURDAY and actually think about it, Friday weddings are awesome. All wedding days are awesome, but Fridays are normal, it is not taboo to have a Friday wedding! The cost savings alone with your venue will allow you more flexibility with your budget and splurge on more food or flowers or booze! Think about it, you are giving your guests SO MUCH notice for the wedding, they can make plans with all that notice! Don’t stress about what others prefer, guests are honored to be included no matter what day of the week you choose.

Can you tell which wedding is a Friday?

Didn’t think so!

Summer wedding at Kendall Point

A summer wedding at Kendall Point {Post Rona’ Shut Down}

Not going to lie. When restrictions were lifted, and weddings were authorized to proceed, we were nervous. Scared, anxious, all the key words that would grant some one a nice dose of Valium from an M.D. Heather planned for a summer wedding at Kendall Point, and she got the most perfect June wedding ever.

Heather booked and planned for a summer wedding in May, but as COVID would have it, she was forced to push her plans to early June. She arrived early morning to KP ready to start the day. Heather was glowing, smiling, happy, and ready to celebrate with her besties, her family, and marry the man of her dreams. All the doubt and fear of Covid-19 was gone. It’s not that it didn’t exist any more, everyone was well aware of the risks involved with a gathering. The guest list was strong, and full of people who wanted nothing more than to celebrate Heather and Robert. Most importantly, we were able to celebrate safely, and responsibly with extra precautions.

As such, floor plans looked a little different, the ceremony chairs were distanced from each other, hand sanitizer was readily available, and friendly reminders were posted for guests to wash their hands and “Spread the gospel, not germs”.  Big deal. So we have to distance tables and chairs, Okay! Nonetheless, We were able to watch Heather walk out the doors for go time, walk down the aisle, marry the man of her dreams, toast with her BFF’s , eat a delicious dinner, and dance like there was no tomorrow.

It was a “regular” wedding as if Covid wasn’t a thing. AND IT WAS AMAZING. Spoiler alert-all weddings post Rona’ shut down have been AMAZING. Like never before. Why? As a result of the encouragement to stay home and shelter in place in months previous, people have a new found appreciation for humans and being with other humans. Celebrate with each other, keep going. Get married.

We hand picked a few of our favorite moments from the day, enjoy!

Planning a wedding in less than 12 months!

How to plan a wedding in less than a year | Kendall Point, Boerne Texas

Can I? HECK YES YOU CAN. Don’t let anyone tell you otherwise, they are jealous because they booked their wedding 20 months from now, are done planning, and now they have to wait….for 20 months. Let us show you how you can plan a wedding in less than a year.

Side note: I booked my wedding venue in May, and was married the same year, in September. Listen, it can be done, easily. No need to freak out!  When you find a gem of a venue, like Kendall Point, everything is so easy. Just trust the process!

BE FLEXIBLE: If planning a wedding in less than a year

Don’t fall in love with the date, fall in love with the venue (link to another fabulous blog you need to read). Seriously, are we still talking about being scared to have a wedding on a Friday or Sunday because it’s an inconvenience? To who? Your guests? Pppsshhhh, they will come. Seriously “if you build it, they will come”, same applies for weddings. If you feed them, and booze them, they will come. STOP with the non-Saturday wedding thing, a Friday or a Sunday is the same thing yall. It’s not like you are asking for their first-born child, you are asking them to take a day off. Sometimes, only taking a half of a day off. Trust me, everyone looks for an excuse to take a day off. AND, if they miss the ceremony, they sure as heck won’t miss the party with free food and alcohol!

TRUST THE PROCESS! If planning a wedding in less than a year

Scout our vendors list. We did our homework already, trust us, these vendors are top notch. Our vendors list was created to make your wedding planning easier. Nothing else, no kickbacks, no side deals, just great recommendations.

HIRE A PLANNER! no matter what

Hire a planner, hire a planner, hire a planner. Correction hire a professional Like one who plans weddings for a living. In a perfect world, you would hire a planner that Kendall Point recommends. Why? Because they have worked at KP before. The know KP, they know the rules, they know their way around. The know the contract, the rules, what they can get away with, and what they can’t get away with. They will have all the answers to your questions, they won’t have to guess. They know the floor plans, they know the best timelines, they know the best photo spots, they know it all. Set yourselves up for success by hiring a planner, or month of planner who can help arrange your planning documents, to-do list, and recommend vendors. Even if you’re taking care of most of the specifics on your own, knowing there’s a pro you can turn to will ease a lot of pressure and keep you moving along at a good pace.

After you have booked the venue and hired a planner, things will all fall in to place. promise. but for the record:

  • We suggest finding a photographer next, followed by the perfect DJ.
  • Catering and bartenders are not as pressing to book, most have several crews and allow for multiple events per day.
  • Invitations, no problem. Invites go out about 6 weeks before the wedding. Head over to see our friends at The Girl General, their team can help you whip up the perfect invitations, save dates, and any favors you might want to add in!
  • The Dress? No problem! Our friends over at Olivia Grace Bridal have an amazing selection of gowns that can be in your hands in 6 months or less.
  • Flowers! Most florist can take on more than one event per day. Plan to hire your florist about 3 months before the big day!
  • Bartenders (everyone’s favorite topic, am I right?!) Bartenders4U provides on the phone, in person, or email consultations, making it as easy as possible for you! Although we suggest getting in the door to taste their fabulous margaritas, everything can be done on the phone/email. Might I suggest the Habanero Lime flavor…the best!
